Purpose of the Role

The FM Apprentice will work alongside the Occupier / FMI / Demised Facilities Managers to manage a dedicated property portfolio in line with client requirements, undertaking regular site inspections. The FM Apprentice will be mentored by the Occupier / FMI / Demised FM and participate in a year-long training program to cover all aspects of facilities management, Savills policies & procedures and property management skills. The FM Apprentice will be competent enough after their initial 12 month training program to manage a portfolio of properties whilst remaining under the mentorship of the Occupier / FMI / Demised Network.

Risk management and contractor service is a key activity ensuring full compliance with building statutory requirements through regular inspections and audits. Training will be provided to allow the apprentice to gain a recognised H&S qualification by examination and it is expected that employees will work towards a professional qualification such as MIWFM or Assoc RICS.

Key Responsibilities

  • To learn all aspects of Savills health and safety policies including the completion of specific check lists that are associated with their portfolio.
  • To attend internal and external training courses that are deemed relevant to the role to ensure that all Health and Safety policies are adhered to and understood.
  • Work alongside the Occupier / FMI / Demised FM to learn about all aspects of the FM and role (Service charge management/control, invoice approval and coding, service partner management, tenant communications and Health and Safety procedures) whilst working towards a recognised FM qualification.
  • Spend time with key head office departments such as the Operational Support Team to understand the need for corporate procurement whilst learning the Savills policies associated with this area.
  • Liaise with Savills suppliers to understand the service level agreements that are in place and understand the required standards and appearance expected.
  • Work alongside the Occupier / FMI / Demised FM to develop a specific training plan including Savills Pathways management training and meet at regular intervals to review progress.
  • To provide administrational support to Occupier / FMI / Demised FM, including updating Compass and the CAFM system, uploading checklists, H&S action plans and meter reads and to assist during periods of absence.
  • Assist and co-ordinate the full range of service charge recoverable services, ensuring compliance with specified standards, quality, time scale and cost objectives.
  • Ensure agreed services are provided in compliance with lease obligations.
  • Production and co-ordination of information in line with Savills and client requirements.
  • Ensure appropriate, clear communication lines are established and maintained.
  • Carry out any other reasonable request of the Property Surveyor or Occupier / FMI / Demised FM.
  • To spend time with other Occupier / FMI / Demised FM’s to learn about the different types of properties managed by Savills and the different service delivery requirements.
  • Ensure compliance with all client and Savills procedures and policies, including health and safety, COSHH and environmental matters.
  • Ensure compliance with all statutory requirements and codes of practice, health and safety requirements.
  • To accompany external auditors around sites during annual inspections and ensure that the all pre audit checks are carried out with the Occupier / FMI / Demised FM.
  • To attend all relevant Savills training courses and adopt procedures learned.

Essential

  • Good communication skills (written and verbal)
  • Good organisational and time management skills
  • Prepared to travel across the dedicated area and also to Head Office to attend training and meetings
  • Enthusiastic, flexible and adaptable
  • College leaver with A-Levels looking for a career in property management
  • University graduate looking to establish a career in property management

Desirable

  • Full UK Driving License
  • Previous work experience involving customer service
  • Industry/Academic qualifications related to facilities management

The candidate attributes detailed above are considered to be non-essential although training will be provided on more technical aspects of the role.
