The London HR team consists of the Head of HR, HR Manager and HR Team Coordinator who provide generalist HR guidance and support to 300 staff and Partners in the London office. We also work closely with our HR colleagues based in our New York head office.In addition, in the wider London HR Group we have a Learning & Development Manager, Learning & Development Adviser, Senior Recruitment Manager, Diversity, Equity & Inclusion Manager, Graduate Recruitment & Diversity Adviser and two Talent Development Managers. This role will provide day-to-day administrative support to the London HR Team. Alongside the HR Team Coordinator they will often be the first point of contact for many administrative HR matters.

Hours: Full-time (Monday to Friday, 9.30am to 5.30pm)

Contract: Fixed-Term 16 months for duration of apprenticeship


To provide pro-active administrative support to the team, including:

General HR

  • Maintaining accurate data on the HR system (Workday) e.g. joiners, leavers, changes to working patterns, employee personal details and absences, testing new functionality;
  • Preparing HR correspondence, using DocuSign where appropriate e.g. probation completion, reference requests etc;
  • Maintaining and updating the HR pages on the intranet;
  • Providing assistance with the appraisal processes;
  • Acting as the point of contact for holiday queries, supporting the year-end holiday/carry-over process, providing holiday accrual reports;
  • Sickness Absence – logging sickness absence, forwarding Self Certification forms for completion as appropriate;
  • Hard copy and e-filing; creating new staff files;
  • Ordering staff gifts, new baby hampers, flowers, etc
  • In conjunction with, and supported by, colleagues in New York, developing expertise on our HRIS (Workday);
  • Ad hoc reporting from the HRIS;
  • Processing expense claims (Chrome River) and invoice payments for the HR team;
  • Providing cover for the HR Team Coordinator during absences;
  • Ad hoc project work, as required e.g. benchmarking, research, change management projects.

Lateral Recruitment & On-boarding

  • Liaising with recruitment agents and co-ordinating interviews;
  • Arranging technical tests and maintaining results spreadsheet;
  • Maintaining new joiner spreadsheet;
  • Assisting with the on-boarding process, including:

Adding new joiners to Workday;

Completing pre-employment background checks and document collection;

Pre-joining medical setting up and monitoring progress;

Conflicts checks liaising with NY;

Updating org charts.

  • Arranging inductions and induction timetable, arranging buddies and supervising partners; sending joining instructions;
  • Liaising with IT and Facilities for new joiner IT equipment to be sent to home addresses (including outside of the UK).
