To assist with all aspects of the Finance function alongside all members of the London Finance Team for the London office in a timely, efficient, accurate and professional manner. This role will offer experience within legal finance, including administrative tasks, processing bills, working in a revenue function, cash operations & Accounts Payable and financial accounts. The role will offer experience in using a variety of software including 3E, the firms financial system. The role will also offer experience to understand some knowledge of the relevant VAT, SRA & EU rules that are essential governance for legal finance teams. Ideally suited to a positive can-do attitude and attention to detail.Full training will be offered in all areas of Finance by various members of the team as well as outside sources on occasion to further enhance your skillset.

Location: 100 Liverpool Street, London, EC2M 2AT

Hours: Full-time (Monday to Friday, 9.30am to 5.30pm)

Contract: Fixed-Term (18 months) for duration of apprenticeship

Responsibilities

  • Assist the Revenue team with production of proformas, fee updates, draft bills and various ad-hoc reports.
  • Assist the Finance Operations team to accurately process supplier invoices (including uploads)/counsel fees using Elite Enterprise. Ensure invoices are coded and authorised correctly and correct VAT treatment applied.
  • Assist the Revenue team to ensure that all billing information held within the system is accurate and always kept up to date, including tax codes, addresses, payable by details, rate agreements and EU VAT numbers, estimated completion dates, where appropriate.
  • Assist the Finance Operations Specialist with various reports and tasks for client account including bank reconciliations.
  • Work with team on various system tests and report on requested changes to bill templates and other ad hoc projects.
  • Assisting other Revenue Specialists by attending meetings with Partners to discuss their Work in Progress and Accounts Receivable and escalate processes where appropriate.
  • Assisting the Finance Assistant specialist with review of the AP aging reports and ensure invoices are paid in timely manner to comply with SRA accounts rules.
  • Assist the primary operators of the London revenue mailbox and Finance Operations mailbox, helping to respond to queries or fielding them to the correct team member for the most appropriate & strongest response.
  • Assist the Finance Ops team with running and review of various daily reports to ensure compliance with SRA accounts rules.
  • Assist Revenue Specialists with updating and maintaining Target Cash/ARCS promptly and accurately in relation to WIP and AR statuses and notes.
  • Assist the Finance Operations team with requesting and checking hard copy receipts for expenses claimed.
  • Assist Revenue Specialists with the collection of debt for assigned Partners / practice groups by way of direct contact with Partner, attorneys or client.
  • Assist & Communicate with Finance Operations team to assist with resolution of payments relating to allocation of receipts of client bills.
  • Assist with posting journals for entries between bank accounts and bank charges and other accounting transactions.
  • Generally assist all team members with ad hoc day to day duties.

General Responsibilities

  • To report any known or potential breaches to the Finance Manager / COFA.
  • To assist Revenue team in chasing down missing and unreleased timesheets for the London office, weekly.
  • Assist with filing / invoice scanning is done promptly and regularly.
  • To assist other team members as and when necessary.
  • To undertake any other ad hoc duties as and when requested, such as ad hoc project work.
