Our client seeks two exceptional candidates, one to fulfil the role of a Recruitment Officer, whilst the other will fulfil the role of a Compliance and Sign-up Administrator. With both roles being pivotal to the smooth operation of the businesses’ recruitment and client onboarding processes, you will play a key part in its’ success. Not only will you gain a wealth of valuable experience on the job, but you will also complete an industry-recognised qualification.

The role:

Possible start date: ASAP

Monday to Friday; 9am to 5:30pm

Total working hours: 40

Key Responsibilities – Compliance/Sign-up Administrator

Managing Paperwork:

  • Welcome clients warmly and direct them appropriately.
  • Ensure accurate completion of paperwork and documentation.
  • Maintain records of participant information and enrolment status.

Compliance Monitoring:

  • Contact clients and or staff to encourage completion of required steps.
  • Support compliance monitoring and regulatory adherence.
  • Conduct audits to ensure documentation accuracy.
  • Assist in preparing compliance reports for regulatory inspections.

Administrative Support:

  • Provide general administrative support, including filing and data entry.
  • Assist in scheduling appointments and meetings.
  • Respond to inquiries from clients or applicants.

Quality Assurance:

  • Contribute to process improvement efforts.
  • Participate in team meetings and training sessions to stay updated on best practices.

Key Responsibilities – Recruitment Administrator

  • To manage rolling recruitment campaigns.
  • Liaise with candidates regarding interview attendance and advise managers accordingly.
  • Provide administrative support to all recruitment and selection activities within the team, including honorary contracts and clinical observers.
  • To create new vacancies and put vacancies out to advert as and when appropriate.
  • Manage and maintain E-Recruitment systems and existing electronic filing systems including ESR.
  • Responsible for coordinating the launch of each recruitment cycle gaining appropriate approvals and advertising.
  • First point of contact for senior stakeholders of the firm, assisting with queries relating to recruitment.
  • Maintain the ATS with support from the Recruitment Administrator.
  • Coordinating and leading all feedback sessions.
  • Running assessment days for graduates and interns to cover both London and regional offices.
  • Produce proposals for promotional materials required for events.
  • Screening candidates and performing face to face and telephone interviews.
  • Relationship building with partners and senior stakeholders of the firm.
  • Manage and liaise with candidates throughout the recruitment period.
  • Provide advice and guidance to hiring managers and assisting with queries throughout the recruitment process.

The training you will receive for both roles:

  • Level 3 Business Administration qualification.
  • All training is undertaken online, through a combination of self-paced eLearning and live online classes.   
  • Functional skills in English and Mathematics, if required.

Prospects:

Full-time role on successful completion of this apprenticeship.

It will be an advantage if you have previous related work experience.

Qualifications required:

GCSE or equivalent English (Grade A* – C 9/4) – Essential

GCSE or equivalent Mathematics (Grade A* – C 9/4) – Essential

General Skills required for both roles:

  • Professional and confident approach to working relationships.
  • Good educational background including minimum GCSE (or equivalent in English and Mathematics).
  • Great communication and Literacy skills.
  • Experience of supporting a busy recruitment team and dealing with high volume recruitment.
  • Experience of working within an environment that can require sensitivity and high levels of self-awareness.
  • High level or organisation skills and the ability to prioritise.
  • Proven experience in recruitment.
  • Experience of managing a variety of administrative tasks.
  • Excellent interpersonal and communication skills both written and verbal.
  • Answering phone calls, taking messages, and connecting calls to the relevant departments.
  • Following up on clients’ business communications, ordering and billing and tracking the organisation’s expenditure.
  • Invoicing clients, collecting company data, and negotiating agreements with internal and external stakeholders.
  • Communicating with clients through calls and emails and building positive relationships with them.
  • Making employee travel arrangements and helping with minor technical issues.
  • Preparing documents through editing, printing and binding.
  • Preparing plans to help streamline and improve business operations.
